City of Harriman Events Coordinator

Statement of Duties:

The Events Coordinator will oversee the planning, implementation, creation, and promotion of festivals and events for the City of Harriman. This role requires a hands-on approach with a focus on leadership, organization, innovation, and effective communication. The ideal candidate will take ownership of the position, demonstrating motivation and creativity in executing responsibilities.


Position Functions:

Lead all aspects of event planning, development, and execution, including but not limited to contract negotiation, vendor and talent coordination, ticket sales management, budgeting, and reporting; Collaborate with community groups and stakeholders to recruit and coordinate volunteers for events; Work closely with internal team members and departments to ensure successful event programming and execution; Maintain a flexible schedule, including weekends, to accommodate event needs and demonstrate a strong work ethic; Establishing and maintaining relationships with vendors and venues; Maintain, book, and operate Frederick W. Gates Hall. Planning event details and aspects, including seating, dining, and guests; Creating reliable financial reports and collecting payments for events and Gates Hall; Managing events and addressing potential problems that may arise; Maintaining a working knowledge of the complex needs of a wide variety of events; Plan and execute the City of Harriman Christmas Party; Create graphics for events; Distribute materials to downtown merchants for advertising purposes; Coordinate Creative Writing Contest in Oct/Nov with Bowers Elementary; Coordinate and execute Earth Day ( Monday April 22, 2024) project with Bowers Elementary; Create maps for vendor events and Christmas Parade; Create script for the Christmas Parade commentators; Coordinate and hire videographers and photographers as needed; Maintain the City of Harriman’s social media presence and coordinate all marketing and publicity, which includes writing press releases; Coordinate and run significant community events (with up to 3k visitors) as well as ribbon cuttings, dedications, and holiday parties; Provide assistance administratively as needed. (ie answering phones, helping customers at the window, taking tax payments, etc.); Communicate with web designer for changes/ additions to website; City liaison with the Downtown Merchant Association; Launder and maintain tables linens for Gates Hall


General Functions:

  • Engage with community groups and stakeholders to promote events and secure support.
  • Collaborate with internal teams to foster a dynamic events program for the City of Harriman.
  • Perform other duties as directed.
  • Festivals, Events, and Programming:
  • Develop and expand festivals and events while fostering community involvement and tourism.
  • Create incentives for local businesses and stakeholders to sponsor events and programs.
  • Cultivate partnerships with local entities to enhance event quality and participation.
  • Promote enthusiasm for the City of Harriman through event engagement.


Supervision:

The Events Coordinator reports directly to the City Manager and does not hold supervisory responsibilities.


Job Environment:

  • Maintain a flexible schedule, including nights, weekends, and holidays.
  • Work both indoors and outdoors in various weather conditions.
  • Set up and break down events, interact with the public, and collaborate across departments effectively.

 

Recommended Qualifications:

  • Ability to perform physical tasks related to event setup and breakdown.
  • Previous experience in event planning, with marketing, communication, or design skills preferred.
  • Fundraising experience is advantageous.
  • Proficiency in Microsoft Word, Excel, and Google Office Suite.
  • Strong multitasking, communication, and organizational skills.
  • Possession of a valid Tennessee driver’s license.
